About the position

The Office Manager at Mississippi Valley State University plays a crucial role in providing comprehensive administrative and technical support to the Office of Admissions & Recruitment. This position is essential for ensuring smooth day-to-day operations, maintaining data integrity, and executing timely communications and reports. The Office Manager is responsible for creating an organized and efficient office environment while supporting recruitment initiatives through effective management of resources and staff.

Responsibilities

  • Manage office communications, including receiving, date stamping, and distributing mail.
  • Oversee office supplies, ensuring availability and reordering as necessary.
  • Assist with processing student applications and the accurate filing of correspondence and records.
  • Process and mail communications related to admissions and recruitment, including event invitations, brochures, and application materials.
  • Prepare reports and ensure data integrity in the admissions system (Banner) and the CRM (admissions platform).
  • Coordinate, schedule, and monitor campus tours, college fairs, and other recruitment events.
  • Manage the work-study schedule and oversee the recruitment student workers who support these activities.
  • Assign and monitor travel schedules and assist with travel planning and itinerary management.
  • Set up and conduct individual and group tours, training and supervising student tour guides to ensure continuity and quality experience.
  • Compile and evaluate enrollment data, supporting the Director in tracking prospective students using the Banner system.
  • Type and prepare travel request forms, recruitment schedules, and other administrative documentation.
  • Record and prepare minutes from staff meetings and distribute them as necessary.
  • Ensure timely submission of special letters for university events, including High School Day and Open House.

Requirements

  • Associate's degree in office administration or a related field required.
  • Must be able to type and operate a computer efficiently.
  • Must have good communication skills and exemplify excellent customer service skills.
  • Must understand the policies and procedures of the Admissions Office and be able to answer basic questions about the admission process.
  • Must be able to develop, organize, and maintain an effective filing system.

Nice-to-haves

  • Bachelor's degree preferred.
  • Three years of administrative or technical experience, preferably in a university setting.
