About the position

The Office Manager at Fayetteville Motors plays a crucial role in ensuring the financial integrity and operational efficiency of the dealership. This position is responsible for accurately representing the financial condition of the dealership, developing necessary controls for proper business conduct, maintaining accurate records, and establishing data processing capabilities to meet the dealership's objectives. The Office Manager will work closely with the controller to prepare complete financial statements and ensure timely submission each month. This role requires a proactive approach to managing financial data and collaborating with various departments to ensure smooth operations. In addition to financial reporting, the Office Manager will review journal entries and approve adjustments to inventory, cost of sales (COS), and expense accounts. Coordination with the controller is essential for preparing month-end reconciliations for all accounts and conducting physical inventories. The Office Manager will also assist in preparing for annual internal and external audits, providing auditors with requested information and following up on any necessary corrections. This position requires a strong understanding of dealership financial statements and the ability to explain technical financial information in an understandable manner. The Office Manager must ensure that all company safety policies and procedures are followed, reporting any accidents immediately to a manager or supervisor. Additionally, this role requires knowledge of all staff duties to fill in during absences, as well as experience with the posting of aftermarket products. The ideal candidate will possess an accounting degree or equivalent experience, along with excellent communication skills and a professional appearance.

Responsibilities

  • Assist controller with preparation of complete financial statements and ensure timely submission each month.
  • Review journal entries and approve adjustments to inventory, COS, and expense accounts.
  • Coordinate with controller to prepare month-end reconciliations for all accounts and physical inventories.
  • Work with office staff to ensure timely completion of assigned tasks.
  • Assist in preparation for annual internal and/or external audits.
  • Provide auditors with requested information and follow up on any items that need correction.
  • Assist with end-of-month accounting reports.
  • Follow all company safety policies and procedures, reporting any accidents to a manager or supervisor.
  • Know all duties of all staff to fill in during absences.
  • Manage title experience and posting of aftermarket products.

Requirements

  • Accounting degree or commensurate experience.
  • Two years of experience in a dealership office position.
  • Working knowledge of dealership financial statements.
  • Ability to read and comprehend instructions and information.
  • Ability to explain technical financial information in an understandable manner.
  • Excellent communication skills.
  • Professional personal appearance.
  • All applicants must be authorized to work in the USA.
  • Ability to pass pre-employment testing including background checks, MVR, drug test, credit report, and valid driver license.

Nice-to-haves

  • Experience with CDK Notary would be a plus.
