About the position

The Office Manager position at Inspire Georgia involves overseeing office operations, managing vendor relationships, and providing administrative support to ensure the smooth functioning of the office. The role requires strong organizational skills, effective communication, and the ability to manage multiple tasks simultaneously while maintaining a professional image.

Responsibilities

  • Establish collaborative relationships with vendors and maintain vendor agreements.
  • Coordinate the work of Food Services, Transporters, and Custodial staff.
  • Ensure menus are complete and according to guidelines.
  • Order food in conjunction with Food Services.
  • Review refrigerator/freezer temperature and conduct checks as needed.
  • Prepare and give input on staff performance appraisals as appropriate.
  • Ensure Food Services and Custodial staff achieve required training hours.
  • Make referrals, submit TAR's, ensuring timely management of transportation requests.
  • Create and modify documents using various software with accuracy and in a timely manner as assigned.
  • Keep calendar/schedule appointments for Inspire GA program.
  • Keep office running smoothly/efficiently within the team approach.
  • Order supplies, approve invoices, maintain keys, arrange maintenance repairs, etc.
  • Provide administrative support to the Support Services.
  • Be aware of budget management and work toward stewardship, efficiency, and accountability.
  • Maintain copies of all program documents and records.
  • Utilize personal safety plan for managing emotions and interaction with staff and clients.

Requirements

  • At least 21 years of age.
  • A high school diploma or GED and two years of experience in a related field, including experience with office management (preferably a bachelor's degree in a related field).
  • Strong written and verbal communication skills.
  • Ability to project a professional image through in-person, phone, and electronic interactions.
  • Ability to sit at workstation for extended periods of time; occasionally lift/carry parcels up to 35 pounds.
  • Ability to read and interpret documents/procedure manuals.
  • Possess the ability, flexibility, and maturity to render the duties and responsibilities required of this position.
  • Ability to manage time, set priorities, and organize and follow structured routines.
  • Advanced computer skills including Excel and Word, with the ability to learn new software applications.
  • Ability to handle multiple tasks simultaneously.
  • Able to show proof of required vaccinations/immunizations.
