About the position

Vaco Phoenix is seeking an experienced Office Manager to oversee daily office operations for a top client in Phoenix, AZ. This role involves managing administrative duties, ensuring a productive work environment, and coordinating various office functions. The position is fully onsite and requires immediate interviews.

Responsibilities

  • Oversee daily office operations and ensure a productive work environment.
  • Coordinate maintenance and repairs.
  • Manage office supply orders, maintain master inventory listings, and keep inventory areas stocked and organized.
  • Prepare FedEx and USPS packages for pickup, take Certified Mail to the Post Office, and drop mail off-site when the Postman doesn't arrive.
  • Coordinate shipping/receiving for stock deliveries to the appropriate locations within the office.
  • Manage vendor relations, addressing inquiries, concerns and requests promptly.
  • Manage the Key Box so all keys are correctly labeled and color-coded.
  • Assist Human Resources with office functions, employee celebrations, employee luncheons, potlucks, etc.

Requirements

  • Strong written and verbal communication skills.
  • Creative approach to problem solving, both independently and as part of a team.
  • Ability to maintain a professional manner under stress.
  • Experience with heavy scheduling and management of calendars.
  • Detail-oriented execution of administrative activities, with high attention to detail, organization and prioritization.
  • Strong technical and computer skills - Word, Excel, Outlook, Adobe, etc. a must.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
