About the position

The Office Manager at Roseland Collegiate Prep is responsible for the general operation of the school office, ensuring a welcoming environment for students, parents, and visitors. This role involves managing office responsibilities, student enrollment, attendance, and first aid, while also supporting the school principal and staff in various administrative tasks. The position requires strong organizational skills and the ability to communicate effectively in both English and Spanish.

Responsibilities

  • Answer telephones and maintain a courteous demeanor while speaking to the public.
  • Greet parents and visitors and assist or refer them as necessary.
  • Maintain a clean and professional school office environment.
  • Order office supplies and coordinate school-wide supply orders annually.
  • Utilize computer and data management programs to maintain student data collection.
  • Manage facilities use requests and contact outside organizations when necessary.
  • Organize all office and student files in an organized manner.
  • Coordinate distribution of mail to staff.
  • Communicate with payroll technician regarding staff leaves.
  • Keep record of teacher substitute timesheets and submit them monthly to the business office.
  • Train and direct the work of the office assistant.
  • Assist in arranging for substitute yard and cafeteria supervision when needed.
  • Maintain an emergency card file on all students.
  • Monitor students sent to the office to see the principal.
  • Maintain student sign-out list and volunteer/visitor sign-in/out list.
  • Maintain Student Council bank account.
  • Assist students who are sick or injured and monitor prescribed drugs.
  • Complete accident report forms and distribute appropriately.
  • Ensure proper enrollment of all students and manage required documentation.
  • Responsible for student attendance and required SARB notices.
  • Maintain student cumulative files and send records when students leave.
  • Administer minor first aid to students and check ill students sent to the office.

Requirements

  • High school diploma
  • Appropriate computer and software skills
  • Secretarial/general office experience

Nice-to-haves

  • Experience working in a school setting
  • Experience with computer systems
  • Fluency in English and Spanish, both oral and written
  • Integrity, honesty, warmth, sense of humor, and a genuine interest in others
