About the position

We are seeking a dedicated and organized Office Manager to oversee the operations of our clinic. The ideal candidate will possess strong leadership skills and have a background in marketing and office management, particularly within a medical environment. This role requires effective communication, exceptional organizational abilities, and proficiency in managing various administrative tasks. The Office Manager will play a crucial role in ensuring the office runs smoothly and efficiently while supporting staff development and maintaining vendor relationships.

Responsibilities

  • Manage daily office operations, ensuring efficiency and productivity.
  • Oversee vendor management, including negotiating contracts and maintaining relationships.
  • Maintain organized filing systems for both physical and electronic documents.
  • Provide clerical support, including data entry, correspondence, and record keeping.
  • Develop and implement training programs for new staff members to enhance their skills.
  • Oversee medical office management tasks, ensuring compliance with regulations and standards.
  • Manage calendars for team members, scheduling meetings and appointments as needed.
  • Assist with human resources functions, including onboarding new employees and maintaining personnel records.
  • Communicate effectively with staff, vendors, and clients via phone systems and email.

Requirements

  • Proven experience as an Office Manager or in a similar administrative role.
  • Strong knowledge of vendor management practices.
  • Familiarity with medical office management is preferred but not required.
  • Excellent organizational skills with the ability to manage multiple tasks simultaneously.
  • Proficient in calendar management and scheduling software.
  • Strong communication skills, both verbal and written.
  • Ability to work independently as well as part of a team.
  • Experience with training development is a plus.
