About the position

The Office Manager at Grateful Gardens is responsible for overseeing the daily administrative functions of the home office, supporting the leadership team, managing client communications, and ensuring smooth operations. This role requires excellent organizational skills, multitasking abilities, and a proactive approach to managing office systems and financial tasks.

Responsibilities

  • Oversee daily office environment ensuring smooth administrative operations and workflow management.
  • Lead the management team with scheduling, coordinating meetings, and preparing materials.
  • Ensure office supplies and technology are inventoried and ordered when necessary.
  • File and organize company documents, both digital and physical.
  • Serve as point of contact for business inquiries and address any concerns with an emphasis on timely response.
  • Manage and train the administrative team on job scheduling to secure workflows.
  • Prepare and send out installation invoices to clients in a timely manner.
  • Manage accounts receivable, track payments, and collect on overdue invoices.
  • Review bills and company expenses for accuracy and timely payment to vendors.
  • Complete company payroll processing and tax filings.
  • Manage recruiting and onboarding new staff; ensure new hire packets are completed.
  • Maintain employee records and understand scheduling and time-off requests.
  • Monitor workers compensation claims and supporting documentation.
  • Work with the Maintenance Supervisor on the status of ongoing projects.
  • Maintain and organize office files, equipment, and systems.

Requirements

  • Proven experience as an office manager, administrative assistant, or similar role, preferably in the landscaping or trade service industries.
  • Job costing and estimating experience required.
  • Strong organizational skills and the ability to prioritize tasks.
  • Excellent communication skills, both written and verbal.
  • Proficient in Google Suite or Microsoft Office Suite (Word, Excel, Outlook).
  • Experience with accounting platforms (QuickBooks or similar) and intermediate bookkeeping tasks required.
  • Three or more years in a small office environment is required.
  • High school diploma required; some college courses including Business, Accounting or Finance highly preferred.

Nice-to-haves

  • Spanish-speaking candidates highly preferred.
  • Ability to train and teach concepts or processes is strongly preferred.
