About the position

Upright Spine Center is seeking a dedicated and experienced Office Manager to lead the administrative and operational functions of our dynamic chiropractic office. The ideal candidate will play a pivotal role in managing staff, optimizing office workflows, ensuring compliance with regulations, and delivering an exceptional patient experience. This role involves overseeing patient scheduling, insurance billing, collections, and office organization while fostering a positive team environment. The Office Manager will also participate in mandatory training sessions every two months, with travel expenses fully covered.

Responsibilities

  • Greet patients warmly and manage check-in and check-out processes.
  • Verify insurance, process claims, and handle pre-authorizations.
  • File and follow up on Explanation of Benefits (EOBs).
  • Manage billing processes, including generating reports, posting payments, and handling collections.
  • Respond to patient financial inquiries and escalate accounts to collections as necessary.
  • Supervise and train office staff to ensure efficient workflow and exceptional patient care.
  • Monitor medical supply inventory and office equipment functionality.
  • Track and renew office certifications, licenses, and compliance documentation.
  • Stay updated on and ensure compliance with HIPAA, state, and federal regulations.
  • Manage accounts payable and receivable, including patient financial plans and credit card auto-pay.
  • Process refunds, payroll, and bonuses for staff.
  • Conduct final audits on patient charts to ensure financial and documentation accuracy.
  • Oversee patient education, from introducing chiropractic principles to care plan discussions.
  • Present the Report of Findings, explain care plans, and handle financial or care-related objections.
  • Schedule entire treatment plans and ensure patient understanding through follow-up calls.
  • Attend bi-monthly training sessions to stay updated on industry standards.
  • Oversee patient intake, ensuring accurate documentation and payment collection.
  • Manage treatment schedules, rescheduling cancellations promptly, and handling email/text reminders.
  • Conduct patient satisfaction surveys, reactivations, and promote patient referrals/testimonials.
  • Maintain a clean and welcoming office environment through regular sanitization and upkeep.

Requirements

  • High school diploma required; associate or bachelor's degree preferred.
  • Minimum of 3 years in a medical office management role.
  • Proven expertise in insurance processes, billing, and collections.
  • Experience with ChiroTouch or similar medical software is highly preferred.
  • Strong leadership, organizational, and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Bilingual (English/Spanish) required.
  • Proficiency in Microsoft Office Suite and medical billing systems.
  • Knowledge of HIPAA compliance is mandatory.
