About the position

The Office Manager at 48forty Solutions plays a crucial role in providing quality administrative support within the facility. This position ensures adherence to company policies and safety regulations while facilitating effective communication among peers, managers, vendors, and customers. Reporting directly to the Plant Manager, the Office Manager is responsible for implementing administrative systems, managing office services, and delivering professional customer service.

Responsibilities

  • Respond promptly to customer inquiries and evaluate relevant information to handle product and service inquiries.
  • Resolve product or service problems by clarifying customer complaints and expediting corrections or adjustments.
  • Partner with management to set up and maintain customer and vendor accounts.
  • Conduct the new hire process, including receiving applications, providing offer letters, and completing new hire paperwork.
  • Maintain and audit personnel files and ensure the security of confidential records.
  • Manage post-injury worker's compensation claims and coordinate communications with the worker's compensation carrier.
  • Oversee local A/P and A/R processes, ensuring timely invoicing and communication with vendors and customers.
  • Complete daily, weekly, and monthly operations reporting, including payroll and production reporting.
  • Perform general clerical duties such as mail sorting, answering phones, and maintaining company bulletin boards.
  • Maintain office supplies and personal protective equipment inventory.

Requirements

  • High school diploma or equivalent required.
  • Four-year college degree or 3-5 years relevant experience preferred.
  • Strong computer skills in MS Office Suite (Excel, Word, PowerPoint, Outlook).
  • Experience in Workers Compensation, Payroll, AP/AR, and Employee Benefits is highly desired.
  • Minimum 2 years prior experience in a customer service environment.
  • Exceptional customer service skills and excellent communication skills (written and verbal).
  • Ability to work both independently and within a team, prioritizing tasks effectively.
  • Ability to manage demanding timelines and work independently.

Nice-to-haves

  • Prior Manufacturing and/or Transportation background is preferred.
  • Bi-lingual (English and Spanish) is a plus, but not required.
