About the position

The Office Manager at Epirus plays a crucial role in ensuring the smooth operation of the Washington, DC and Oklahoma facilities. This position involves coordinating office activities, providing general support, and enhancing workplace productivity. The ideal candidate is a self-starter with strong organizational skills and proficiency in MS Office applications, working closely with various teams including Facilities & Infrastructure, Government Affairs, People, and Marketing & Communications.

Responsibilities

  • Design, set up and maintain office areas and common spaces.
  • Collaborate with Government Affairs (GA) team, facilities department, IT, and HR on office seating plans, moves, and changes.
  • Provide small-scale IT support for Zoom rooms, network troubleshooting, and other IT infrastructure.
  • Assist visitors by greeting, welcoming, and directing them appropriately.
  • Support onboarding of new employees with documentation, badges, parking passes, and amenities access.
  • Assist with HR and other various administrative tasks such as drafting, preparation, and distribution of correspondence, calendaring, meeting scheduling and coordination, employee experience events.
  • Coordinate and manage maintenance on office area equipment including copy machines, coffee & food services, furniture, etc.
  • Follow up with vendors to ensure issues are rectified, and contract compliance and service levels are achieved.
  • Support unclassified and classified meetings, events, and otherwise for a variety of customers including but not limited to setup, IT troubleshooting, and catering.
  • Liaise with property management to ensure continued maintenance of office spaces and deliveries.
  • Proactive support for GA and the Marketing/Comms team to prioritize their administrative responsibilities and day-to-day goals.

Requirements

  • 3+ years of relevant experience in an administrative, facility, or property administration role
  • Bachelor's degree preferred
  • Ability to lift 15 pounds
  • Previous experience working with an EA or in similar government environments
  • Strong computer skills and ability to operate general office equipment
  • Excellent attention to detail and multi-tasking abilities
  • Strong interpersonal skills and ability to work with cross-functional teams, customers, and external vendors.
