About the position

The Office Manager for Assisted Living will oversee billing, accounts receivable, and collection activities for the facility. This role is crucial in achieving cash collection and accounts receivable goals while ensuring compliance with financial regulations. The Office Manager will facilitate communication regarding resident needs and foster a positive environment focused on patient wellness and satisfaction.

Responsibilities

  • Oversee all billing, accounts receivable, and collection activities in the facility.
  • Participate actively in assuring all new admissions meet appropriate financial criteria.
  • Obtain and maintain all financial information regarding each patient.
  • Ensure all accounts are properly maintained according to policies and procedures.
  • Ensure integrity and confidentiality of all resident financial data.
  • Maintain and balance census record keeping on a daily basis.
  • Ensure all rental income is collected by the 5th of each month.
  • Reconcile all accounts using appropriate worksheets and accounting software.
  • Complete semi-monthly review of payroll.
  • Enter new employees into the HRIS system and maintain the database.
  • Facilitate tracking of Medicaid applications and annual renewals with the Administrator.
  • Coordinate weekly aging reviews with the Administrator.
  • Develop and maintain good working rapport with inter-department personnel.

Requirements

  • High school diploma or relevant qualification preferred.
  • Possession of a current valid Texas driver's license or regular means of transportation to and from work.
  • 3-5 years of experience in third-party billing and reimbursement including Medicare, Medicaid, and commercial insurance in a skilled rehabilitation, skilled nursing, or Long-Term Care (LTC) environment required.
  • Experience with Microsoft products including Word, Excel, and Outlook required.

Nice-to-haves

  • Associate degree preferred.
  • Administrative experience of 1 year required.
