About the position

The Office Manager plays a pivotal role in overseeing the day-to-day operations of the dental office, ensuring seamless functionality, compliance, and a positive working environment. This position is instrumental in enhancing organizational efficiency, managing resources effectively, and fostering a cohesive team, primarily serving internal customers, including dental office staff and practitioners.

Responsibilities

  • Provide leadership in executing administrative tasks, such as answering phones, collecting payments, and reviewing treatment plans, ensuring smooth daily operations.
  • Foster a harmonious work environment by promoting teamwork, open communication, and transparent collaboration.
  • Oversee daily operations and staff management to enhance organizational efficiency.
  • Cultivate positive relationships with patients, creating an atmosphere that reflects the practice's commitment to excellence in dental care.
  • Provide ongoing training to staff members on office procedures, customer service, and other relevant topics.
  • Work with the Finance Director to ensure adherence to budgetary constraints and report on quarterly goals.
  • Track KPIs related to patient satisfaction, operational efficiency, and financial performance.
  • Negotiate contracts with vendors to optimize cost-effectiveness.
  • Ensure staff is trained and ready to respond to emergencies and establish procedures for handling unexpected events.
  • Ensure that staff is trained and comfortable with new technologies.

Requirements

  • Bachelor's degree in Business Administration, Human Resources, or a related field.
  • Proven experience in office management (2 years required).
  • Strong organizational and multitasking abilities.
  • Proficiency in Dentrix and Microsoft Office.
  • Competency in succinct grammar, vocabulary, and spelling for effective communication.
  • Interpersonal effectiveness, with the capability to engage in uncomfortable conversations with both patients and staff.
