About the position

The Office Manager is responsible for overseeing administrative, financial, human resources, and customer interaction tasks at the plant. This role involves managing multiple projects, ensuring compliance with regulations, and providing guidance to the management team. The Office Manager acts as a liaison between the plant and Shared Services, ensuring efficient operations and support for various functions including payroll, accounts receivable, and month-end reporting.

Responsibilities

  • Manage and organize employee files including personnel, medical, and confidential files.
  • Ensure planning, monitoring, and appraisal of employee work performance.
  • Provide guidance to managers regarding the disciplinary process and employee grievances.
  • Initiate recruitment, onboarding, and training for hourly hires.
  • Ensure accurate processing of HR forms for new hires, transfers, and terminations.
  • Partner with HR to comply with regulations and maintain records.
  • Submit weekly employee time records for payroll processing.
  • Manage attendance and track Paid Time Off (PTO) and other leave types.
  • Support accounts receivables and manage days' sales outstanding.
  • Act as a point of contact for high-risk customers and assist with collections.
  • Prepare credit memos and submit new customer setup forms.
  • Create and submit purchase orders in the ERP system.
  • Upload Accounts Payables batches and verify purchase orders.
  • Compile and complete month-end reports as designated by the Regional Controller.
  • Supervise front office staff and manage day-to-day office operations.
  • Assist with customer quotes, pricing, and capital expenditures.
  • Organize employee events and manage contractor services for maintenance.
  • Facilitate audits and submit expense reports as needed.

Requirements

  • Two-year associate degree or equivalent experience preferred.
  • Five years of general office, accounting, and finance experience.
  • Familiarity with applicable employment laws and Bodycote policies.
  • Proficient in ERP and database systems.
  • High proficiency with Microsoft Office applications (Excel, Word, Outlook).
  • Effective communication skills in English, both orally and in writing.
  • Strong organizational and interpersonal skills.

Nice-to-haves

  • Experience with ISO, AS9100, and NADCAP audits.
  • Knowledge of ITAR-related plant procedures.
