About the position

We are seeking a highly organized and proactive Office Manager to oversee the daily operations of our office. The ideal candidate will be responsible for ensuring efficient office management, maintaining a productive work environment, and supporting our team in achieving their goals. This role requires strong communication skills, attention to detail, and the ability to manage multiple tasks effectively.

Responsibilities

  • Manage and maintain office calendars, scheduling appointments and meetings as necessary.
  • Communicate effectively with team members, clients, and vendors to ensure smooth operations.
  • Oversee vendor management, including negotiating contracts and maintaining relationships with suppliers.
  • Handle all aspects of office management, ensuring that the workspace is organized and well-maintained.
  • Perform clerical duties such as filing, data entry, and document preparation.
  • Assist in medical office management tasks if applicable, ensuring compliance with relevant regulations.
  • Develop and implement training programs for new staff members to enhance team performance.
  • Lead team management efforts by fostering a collaborative work environment and addressing any personnel issues.
  • Exhibit excellent phone etiquette when interacting with clients and vendors to represent the company professionally.
  • Participate in budgeting processes to ensure efficient allocation of resources.

Requirements

  • Proven experience in office management or a similar role is preferred.
  • Strong skills in calendar management and organization are essential.
  • Excellent communication skills, both verbal and written, are required for effective interaction with diverse stakeholders.
  • Familiarity with vendor management practices is a plus.
  • Experience in clerical tasks and proficiency in office software applications is necessary.
  • Knowledge of medical office management principles is an advantage but not mandatory.
  • Ability to develop training programs and manage team dynamics effectively is desired.
  • Strong phone etiquette skills are essential for maintaining professional relationships.
  • Basic understanding of budgeting processes will be beneficial.
