The Office Manager at Common Health Counseling Group is a crucial role responsible for ensuring the efficient operation of the office. This position involves a variety of tasks including administrative oversight, client and records management, marketing and communication, human resource management, and compliance documentation. The Office Manager plays a key role in fostering a positive work environment and supporting the professional growth of team members.

Responsibilities

  • Communicate relevant office details to the direct supervisor.
  • Ensure ample aide coverage for all clients.
  • Handle telephone calls, type, copy, fax, and email documents.
  • Organize the office layout and manage supplies and equipment.
  • Maintain the office condition and coordinate necessary repairs.
  • Audit Medical and Personnel files for DMAS compliance.
  • Promptly address gaps found during audits and customer service calls.
  • Create and manage client files, ensuring accurate and updated information.
  • Collect MHSB and IIH New Client Referrals.
  • Maintain the service authorization log and request necessary documentation for re-authorizations.
  • Print Progress Notes weekly.
  • Request medical records for clients.
  • Input billing requests for completed assessments.
  • Verify client insurance and authorizations.
  • Develop strategies to build aide and client census.
  • Craft company memorandums and internal/external correspondence.
  • Schedule and coordinate training and meetings.
  • Assist/manage the CEO calendar.
  • Prepare HR correspondence.
  • Manage the HR calendar.
  • Post job listings and recruit new employees.
  • Screen applicants to ensure qualifications and necessary requirements are met.
  • Schedule and conduct interviews.
  • Prepare new employee documentation and manual.
  • Conduct employee orientation and training.
  • Prepare Employment Offer Letters and Letters of Termination.
  • Create and assign employee email and Noteable accounts.
  • Input employee information and update accordingly.
  • Ensure compliance and conduct audits of client and employee documentation.
  • Assist in updating and maintaining office policies and procedures as necessary.

Requirements

  • Proficiency in Microsoft Outlook and Microsoft Office.
  • Experience in event planning.
  • Supervising experience.
  • Knowledge of payroll and budgeting.

Nice-to-haves

  • Experience in mental health care administration.
  • Familiarity with compliance regulations in healthcare.
