About the position

The Office Manager at Holy Name Medical Center is responsible for the overall management of the office site, ensuring efficient facility and equipment maintenance, supervising designated personnel, and preparing payroll. This role acts as a liaison between the facility and other locations, administration, vendors, and third parties, while also addressing patient and visitor concerns to ensure timely resolutions.

Responsibilities

  • Assist with interviews, hires, evaluates, and disciplines direct reporting staff.
  • Handle all patient and visitor concerns and assure timely resolution.
  • Supervise the daily cash collection and time of visit payments.
  • Develop daily operating policies, protocols, and procedures for the site; train staff and implement policies.
  • Monitor compliance, coach and counsel staff, and retrain as necessary.
  • Provide day-to-day supervision for all staff working at the facility.
  • Allocate work among staff and assure that work is completed within appropriate time frames.
  • Prioritize tasks and keep staff informed of priorities.
  • Order supplies for the facility.
  • Timely submission of all pre-certification requests.
  • Monitor performance against budget and take corrective action as indicated.
  • Prepare payroll for facility staff and prepare weekly work schedule for all facility staff.
  • Act as liaison for facility and staff with all other parties.
  • Assure that the facility is well maintained and that all equipment is maintained and serviced appropriately in accordance with regulatory requirements.

Requirements

  • High School Diploma or equivalent experience required.
  • Bachelor's Degree in Business Administration or a healthcare-related field preferred.
  • 1-3 years of experience in a medical office setting preferred.
  • Three years of supervisory experience in a medical office setting preferred.
  • Experience in word processing and spreadsheet software (Microsoft Word, Excel) preferred.

Nice-to-haves

  • Previous Office Manager experience preferred.
  • Good interpersonal skills, ability to work well with patients, physicians, and staff.
