About the position

The Office Manager at TME & Affiliates, Inc. plays a crucial role in ensuring the smooth operation of both office and field teams. This position involves managing financial transactions, facilitating communication between teams, and supporting project management tasks. The ideal candidate will thrive in a fast-paced environment and be adaptable to various responsibilities.

Responsibilities

  • Process transactions in QuickBooks Online, including invoices, payments, purchase orders, and accounts receivable/payable.
  • Act as a liaison between the office and field teams, facilitating information flow and addressing any issues that arise.
  • Assist project managers with administrative tasks such as document preparation, scheduling, and data entry.
  • Assist with recruitment and onboarding of new employees, ensuring they are well-equipped to succeed in their roles.
  • Assist with phone calls, emails, and other correspondence, maintain organized files, assist with office supply orders, and contribute to a positive office environment.

Requirements

  • Strong command of MS Office Suite (Word, Excel, Outlook) and QuickBooks Online.
  • Fluency in Spanish (both written and verbal) is advantageous.
  • Exceptional attention to detail, ability to prioritize tasks, and meet deadlines consistently.
  • 10+ years of administrative experience, showcasing exceptional organizational skills, proficiency in project management, and a strong aptitude for learning new systems and processes.
  • Experience in a construction setting and human resources is highly preferred.
  • Strong communication skills (both written and verbal), exceptional organizational skills, and meticulous attention to detail.

  • Experience managing office operations with the ability to adapt to new systems and workflows.
  • Ability to work well within a team environment, as well as independently.
  • Customer service skills to effectively communicate with contractors, homeowners, office staff, and field crew.

Benefits

  • Competitive salary range of $55,000 - $65,000 per year.
  • Full-time position with a stable work schedule from Monday to Friday.
