About the position

The Office Manager at Kelley and Ryan, Inc. is responsible for overseeing the daily operations of the office, ensuring compliance with company policies, and facilitating communication between in-office and remote employees. This role is crucial for maintaining efficient administrative processes and supporting HR activities, making it essential for a well-functioning workspace in a hybrid work environment.

Responsibilities

  • Oversee day-to-day office operations, ensuring a well-functioning workspace and smooth workflows.
  • Manage office supplies, equipment, and vendor relationships, ensuring timely orders and service agreements.
  • Coordinate maintenance and IT support for both office and remote employees.
  • Monitor adherence to in-office policies, including attendance tracking, meeting room usage, and office etiquette.
  • Assist in implementing and enforcing company policies, ensuring employees follow operational procedures.
  • Serve as the primary point of contact for compliance with safety protocols, including fire drills, health regulations, and remote work guidelines.
  • Ensure independent contractors submit necessary documentation and comply with company standards.
  • Facilitate communication between in-office and remote staff, ensuring seamless information flow across all teams.
  • Organize and coordinate meetings, company events, and team-building activities.
  • Support senior leadership by managing calendars, travel arrangements, and correspondence.
  • Coordinate with HR consultant regarding insurance and other matters, onboard new employees and independent contractors, ensuring all required documents and policies are in place.
  • Maintain employee records and ensure compliance with privacy policies.
  • Assist in tracking employee time off and remote work requests.

Requirements

  • Bachelor's degree in business administration, management, or a related field preferred.
  • 5+ years of experience in office management, administration, or a similar role.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent written and verbal communication skills.
  • Familiarity with remote work tools (Zoom, Microsoft Teams, etc.).
  • Proficiency in Microsoft Office Suite and project management tools (e.g., Asana, Trello).
  • Experience working with independent contractors is a plus.
