About the position

The Office Manager at Rapid Finance plays a crucial role in ensuring the smooth operation of the corporate office by managing day-to-day administrative functions. This hybrid position requires a proactive individual who can provide exceptional customer service to both internal and external stakeholders. The Office Manager will oversee office administration, event planning, and facilities support, while also acting as a representative of the company's values and culture.

Responsibilities

  • Manage relationships with building management and handle facilities and parking requests.
  • Order and maintain inventory of office and kitchen supplies.
  • Ensure the overall aesthetic of interior spaces and maintain general office cleanliness.
  • Perform general facility and office equipment maintenance and coordinate repairs with vendors.
  • Create, review, and modify documents using MS Office and Adobe products.
  • Administer team member recognition and special events.
  • Distribute incoming mail and prepare outgoing mail for shipping.
  • Greet visitors and manage workspace needs for remote team members.
  • Update and maintain corporate documents on the corporate drive.
  • Provide general administrative support to departments and assist with special projects.
  • Coordinate, plan, and manage all corporate events and team-based activities.
  • Assist new team members with onboarding and orientation.
  • Manage logistics for senior management meetings and support culture initiatives.

Requirements

  • Associate degree or equivalent work experience; Bachelor's Degree preferred.
  • Three or more years of experience in office administration/facilities role.
  • Experience with corporate event planning, budgeting, and logistics.
  • Proficient in MS Office and Adobe suites, especially Word, Excel, and PowerPoint.
  • Valid driver's license and own mode of transportation (preferred).
  • Ability to work independently and manage relationships with minimal supervision.

Nice-to-haves

  • Experience with social media platforms for event promotion and brand awareness.
  • Notary certification or willingness to become one.
