About the position

The Accounting/Office Manager plays a crucial role in supporting the President in driving business results and ensuring the smooth operation of the office. This position is responsible for the planning and control of financial activities, overseeing day-to-day operations, and serving as the main point of contact for various operational teams. The Office Manager will work closely with the regional team on a variety of tasks, including accounting, accounts payable, human resources, and payroll. This role requires a proactive approach to managing financial reporting and operational support, ensuring that all activities align with the company's goals and objectives. In addition to financial oversight, the Office Manager will prepare work in progress reports and attend operations meetings to monitor project schedules. They will confer with estimators and project team members to make necessary adjustments to cost estimates and prepare monthly financial statements. The role also involves performing account reconciliations, preparing sales and use tax returns, and processing payroll for both office staff and union field staff. The Office Manager will handle human resources issues, oversee new hire onboarding, and manage physical inventories. Furthermore, they will be responsible for reporting on the annual insurance renewal and audit, as well as ensuring all applicable tax reporting is completed accurately and submitted to the corporate office. Supervising accounting and administrative personnel is another key responsibility of this position. The Office Manager will assist Project Managers and Estimators in creating Purchase Orders and setting up projects, as well as managing accounts payable. This multifaceted role requires strong organizational skills, the ability to work under pressure, and a commitment to problem-solving and effective communication across all levels of the organization.

Responsibilities

  • Prepares work in progress reports and attends operations meetings.
  • Monitors project work in progress schedules and confers with estimators and project team members on changes and adjustments to cost estimates.
  • Prepares monthly financial statements.
  • Performs account reconciliations.
  • Prepares sales and use tax returns.
  • Processes payroll for both office staff and union field staff.
  • Prepares payroll reports including union reporting.
  • Handles human resources issues and new hire onboarding.
  • Oversees physical inventories.
  • Handles the reporting for the annual insurance renewal and audit.
  • Handles all applicable tax reporting to the corporate office.
  • Supervises accounting and administrative personnel.
  • Assists Project Managers and Estimators create Purchase Orders and Project Set-up for Accounts Payable.
  • Other duties as assigned.

Requirements

  • Bachelor's Degree in Accounting or related field is a MUST.
  • Solid verbal, written, interpersonal and listening skills.
  • Must work well under pressure.
  • Ability to adapt and manage multiple responsibilities.
  • Problem Solving Ability.
  • Proficiency with Microsoft Excel or other spreadsheet program, including strong analytical abilities.
  • Ability to speak, read and comprehend instructions, short correspondence and contract documents, as well as converse comfortably with all levels of the Tecta organization.
  • 5+ years' experience in accounting or a related field preferably construction.
