About the position

The Office Manager at the bART Center for Music is responsible for supporting the day-to-day operations of the center, focusing on student enrollment, event planning, and providing exceptional customer service. This role requires strong organizational and communication skills to manage administrative tasks and ensure a smooth operation within a creative and inclusive music education environment.

Responsibilities

  • Assist prospective students in selecting appropriate programs, courses, and instructors.
  • Manage and maintain the student enrollment system, ensuring all information is accurate and up to date.
  • Coordinate with instructors to assign students to the correct classes or private lessons.
  • Process registration forms, payments, and other student documentation when necessary.
  • Provide orientation and introductory support for new students and families.
  • Assist in planning, organizing, and coordinating a variety of events, including recitals, juries, concerts, workshops, and community outreach programs.
  • Work with faculty and staff to schedule event dates, venues, and equipment needs.
  • Promote and communicate events through email newsletters, social media, and other channels.
  • Help with event logistics, including setting up venues, handling registrations, and managing event day operations.
  • Provide on-site support during events, ensuring smooth execution.
  • Answer phone calls, emails, and in-person inquiries in a professional and timely manner.
  • Maintain student records, schedules, and class rosters.
  • Assist with general office duties, such as filing, data entry, and preparing documents for the Executive Director and the Board of Directors.
  • Help with communications between students, parents, instructors, and administration.
  • Manage office supplies and assist with other administrative tasks as needed.
  • Serve as the first point of contact for students and families, providing exceptional service and addressing concerns.
  • Provide information and support regarding programs, events, and policies.
  • Assist students and parents with scheduling and logistical needs for lessons, classes, and events.
  • Ensure the office is well organized and that all necessary materials and resources are available for smooth operations.
  • Maintain an updated calendar of events, deadlines, and appointments for staff and faculty.
  • Assist with the promotion of bART Center's programs through local advertising, social media, and community engagement.

Requirements

  • High school diploma preferred but not required.
  • Previous experience in an administrative role, ideally within the music or arts education field.
  • Customer service-oriented with the ability to interact with a diverse group of students, parents, and staff.
  • Strong organizational skills with the ability to manage multiple projects simultaneously.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with office management software.
  • Strong attention to detail and problem-solving abilities.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Passion for music and arts education is a plus!
