About the position

The Office Manager will oversee the daily operations of the office, ensuring efficiency and organization. This hybrid role requires managing reception duties, vendor relationships, and office supplies, while also coordinating with IT and HR for various administrative tasks. The position is contract-based for six months with the possibility of extension or full-time employment.

Responsibilities

  • Ensuring the office runs in an orderly and efficient fashion
  • Conducting the reception area including greeting guests and facilitating incoming phone traffic
  • Distributing incoming mail and sending outgoing mail and overnight shipments
  • Maintaining schedule of conference room and conference call line availability
  • Ensuring that conference rooms are presentable prior to meetings and setting up audio and video for video conferences
  • Managing relationships with vendors, building management, and service providers
  • Ensuring that common areas are tidy and the supply room is well stocked
  • Planning office social events and managing the budget
  • Coordinating with IT department on all office equipment matters
  • Assisting with travel arrangements, expense reports, online billing, presentation preparation, and mailing of invoices
  • Archiving and retrieval of documentation and other administrative tasks as needed
  • Collaborating with HR to ensure smooth onboarding and offboarding of employees
  • Liaising with HR on low-level HR related matters

Requirements

  • Proven experience as an office manager or in a similar administrative role
  • Strong organizational and multitasking skills
  • Excellent communication and interpersonal abilities
  • Proficiency in office software (e.g., MS Office) and office equipment
  • Ability to manage vendor relationships and coordinate with various departments
