About The Position

The Office Manager at Tacoma Water will support the Water Superintendent, Deputy Superintendent, and Senior Leadership Team by leading administrative professionals and ensuring alignment with strategic objectives and division goals. The role is crucial in delivering clean, reliable water essential to quality of life.

Requirements

  • High School Diploma or GED/Associate's Degree.
  • 6 years of experience including 2 years of prior advanced journey or lead experience.
  • Experience providing support to a senior or executive leader.

Responsibilities

  • Receive and screen communications including calls, correspondence, and email requests, prioritizing those that require immediate attention.
  • Compose, create, and prepare routine correspondence, memoranda, and statistical reports for signatures.
  • Type, format, edit, and proofread materials containing confidential and/or sensitive information such as proposals, contracts, grievances, and personnel actions.
  • Interface with internal and external contacts to respond to questions, requests, or concerns by staff or the public, assisting with Public Disclosure Requests.
  • Manage complex calendars, activities, and events, utilizing independent judgment for prioritization and flexibility.
  • Track Tacoma Public Utilities Board and City Council agendas and documentation requirements, facilitating Tacoma Water documentation and preparing staff for meetings.
  • Lead clerical/administrative staff throughout Tacoma Water, establishing work quality standards and performance benchmarks.
  • Prepare contracts and make purchases to support office functions; process invoices, payments, and create purchase orders in Ariba.
  • Draft and maintain the administration budget with assistance from the Water Deputy Superintendent; compile and review budget information for accuracy.
  • Assist with the administration of the Tacoma Water employee appreciation program (TAP).
