About the position

The Office Manager will oversee all administrative tasks and ensure the smooth operation of the office in a family-owned kitchen remodeling company. This role requires strong organizational skills, excellent communication abilities, and the capacity to manage financial controls and people effectively in a fast-paced environment.

Responsibilities

  • Manage office operations and ensure efficient workflow across each department within the company.
  • Implement QuickBooks system.
  • Implement operational software such as Jobtread or similar systems across the organization.
  • Maintain office supplies inventory and place orders when required.
  • Coordinate and schedule meetings and appointments.
  • Manage budgeting and financial management tasks.
  • Handle incoming calls and emails from clients, vendors, and other team members, responding to inquiries or directing them to the appropriate team member.
  • Perform general clerical duties, including data entry, filing, and photocopying.
  • Assist with project planning and coordination.
  • Manage calendars and schedules for staff members.
  • Oversee the maintenance of office equipment and troubleshoot any issues that arise.
  • Collaborate with team members to ensure effective communication and coordination.

Requirements

  • Excellence in QuickBooks accounting software.
  • Experience in utilizing business relevant software.
  • Experience in Purchasing/Buying.
  • Strong budgeting skills and attention to detail and oversight of costs.
  • Excellent written and verbal communication abilities.
  • Experience in project planning and coordination.
  • Proven ability to manage calendars and schedules effectively.
  • Strong organizational skills with the ability to prioritize tasks.
  • Expert in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Previous experience in an office management role is required.
  • Ability to work independently as well as part of a team.

Nice-to-haves

  • Ability to speak both English and Spanish will be considered a bonus.
