About the position

The Office Manager at Taylon Skylights will oversee daily operations, ensuring the smooth functioning of the office while serving as the central point of contact for customer interactions and administrative functions. This role requires a detail-oriented and organized professional capable of managing multiple responsibilities and supporting both customers and the internal team effectively.

Responsibilities

• Answer and direct phone calls, providing outstanding customer service.
• Prepare quotes and process sales orders efficiently.
• Schedule customer orders and coordinate deliveries to ensure timely service.
• Oversee day-to-day office activities, maintaining a well-organized and efficient workspace.
• Handle bookkeeping tasks, including invoicing, accounts payable (AP), and accounts receivable (AR).
• Process and manage payroll, W9s, and insurance certifications.
• Prepare checks and ensure timely payment of vendor invoices.
• Manage HR responsibilities, including maintaining employee records and compliance with company policies.
• Address employee inquiries and assist with onboarding new hires.
• Monitor accounts and maintain accurate financial records.

Requirements

• Proven experience in office management, administrative roles, or bookkeeping.
• Strong organizational and multitasking skills with keen attention to detail.
• Proficiency in accounting software QuickBooks and Microsoft Office Suite (Word, Excel, Outlook).
• Excellent communication and interpersonal skills.
• Ability to prioritize tasks and meet deadlines in a fast-paced environment.

Nice-to-haves

• Bilingual preferred: Spanish
• Experience in customer service or the construction industry is a plus.
• Familiarity with payroll systems and HR processes.
