About the position

The Office Manager at Crimson Heights plays a crucial role in supporting the operational and administrative functions of the organization, which focuses on providing behavioral health services to teens and young adults. This position involves managing client billing, insurance verification, employee onboarding, and administrative tasks to ensure smooth operations and effective communication within the team.

Responsibilities

  • Check sessions daily and ensure the correct funding source is attached to each client.
  • Bill out copays and private pay sessions daily.
  • Enter client demographic information into the system and monitor privacy practice documents.
  • Manage client inquiry list and follow up with clients biweekly to ensure timely service.
  • Administer onboarding for new employees and manage their training schedules.
  • Schedule appointments and update internal communication tools accordingly.
  • Assist with recruiting and hiring new staff, including setting up interviews and screening candidates.
  • Ensure all employees receive their benefits correctly and assist with payroll.
  • Manage promotional materials and client referral lists.
  • Run verification of benefits for Medicaid monthly and manage private pay payments.
  • Create and manage job postings on various hiring platforms.
  • Oversee the psych eval and ADOS testing system for client evaluations.
  • Manage Salesforce software for pre-authorizations and marketing contacts.
  • Update the company team roster and ensure all information is current.
  • Check and sort mail, and manage bank deposits as needed.

Requirements

  • High school diploma or equivalent required.
  • 1 year of customer service experience preferred.
  • Ability to relocate to Spanish Fork, UT before starting work.

Nice-to-haves

  • Experience in behavioral health services administration.
  • Familiarity with billing and insurance processes.
