About the position

The Office Manager at Thermogenics LLC plays a crucial role in providing leadership and support across various departments including Human Resources, Accounting, Health & Safety, Information Technology, and Customer Compliance. This position ensures that the office operates efficiently by managing resources and overseeing essential functions such as invoicing, employee onboarding, and compliance with safety regulations.

Responsibilities

  • Manage insurance certifications and oversee safety portals and metrics.
  • Prepare customized invoicing per customer requirements.
  • Manage the invoicing process and oversee collections process including aging report monitoring.
  • Act as a backup to the Service Administrator for warranty tracking.
  • Oversee credit card reconciliations and accounts payable processes.
  • Calculate timesheets for payroll and input hours into Jonas and Ceridian.
  • Oversee benefits administration and manage Workers' Compensation requirements.
  • Provide front-line IT support and ensure insurance and licensing requirements are met for the fleet.
  • Prepare quarterly CAT tax returns and provide clerical support as needed.

Requirements

  • Bachelor's degree (preferred)
  • 2 years of office management experience (preferred)
