In this position, the Office Secretary will engage in a full range of skilled word processing functions, including composing correspondence and memos, preparing specialized documents and technical reports, and creating materials for mass mailings. The individual will also be responsible for maintaining accurate records related to student testing, enrollment, and attendance, as well as managing the school's automated scheduling and attendance procedures. The Office Secretary will greet visitors, answer inquiries, and direct them to the appropriate personnel, ensuring a welcoming and informative environment for all who enter the school. Additionally, the Office Secretary will assist with various administrative tasks, such as arranging team and parent-teacher conferences, scheduling field trips, and maintaining inventory of school materials and supplies. The role may also involve providing backup assistance to other office clerical personnel to maintain efficient office operations at all times. Overall, the Office Secretary is a vital member of the school community, contributing to the effective functioning of the school and supporting the educational environment for students and staff alike.

Responsibilities

  • Perform general office secretarial and clerical duties in an elementary school.
  • Prepare and process forms, records, correspondence, memoranda, documents, and reports related to school activities.
  • Develop, format, and prepare correspondence, memoranda, reports, announcements, and forms.
  • Compose correspondence and memos; prepare specialized documents and technical reports.
  • Create documents for mass mailings and produce charts, graphs, and tables.
  • Maintain data related to student testing, enrollment, and attendance.
  • Set up and operate automated scheduling and attendance procedures.
  • Register new students and assist with student orientation.
  • Greet visitors and answer inquiries, directing them to appropriate personnel.
  • Process incoming and outgoing mail and maintain small fund for student loans.
  • Assist students with personal problems and obtain substitute teachers when required.
  • Arrange team and parent-teacher conferences and responsible for team notices and minutes.
  • Make arrangements for field trips and process required forms.
  • Maintain inventory of school materials and standard office supplies.
  • Operate various office equipment and perform routine maintenance as needed.
  • Prepare and maintain up-to-date records of all students on class list and attendance reports.
  • Assist with the preparation of instructional requests and maintain accuracy of student attendance records.

Requirements

  • Possession of a high school diploma or equivalent.
  • Three years of secretarial and/or clerical work experience.
  • Completion of the BCPS Office Professional Skills Assessment relevant for this position.
  • Knowledge of office practices and procedures, filing systems, and office equipment.
  • Skill in performing secretarial and clerical duties and maintaining records.
  • Ability to communicate clearly and effectively and maintain confidentiality.
