About the position

The Office Services Associate role at Robert Half in Houston, Texas, is a short-term contract position focused on providing essential back-office services. The associate will manage reprographics, mail, and intake functions while also assisting with hospitality, facilities, audio/visual, and reception services to ensure smooth operations for both the team and clients.

Responsibilities

  • Handle sensitive and confidential documents and information with utmost discretion.
  • Operate printing equipment for large volume print jobs and prepare the final print output for clients.
  • Prioritize workflow and ensure efficiency in office services.
  • Assist clients with self-service machines and troubleshoot basic equipment problems.
  • Maintain adherence to established procedures and policies.
  • Communicate effectively with supervisors or clients on job or deadline issues.
  • Load machines with various paper toner supplies and maintain logs of the same.
  • Interact with clients in person, over the phone, or electronically, ensuring excellent customer service.
  • Perform Quality Assurance on own and work of others to maintain high standards.
  • Answer telephone, emails, and place service calls when needed.
  • Utilize equipment and supplies in a cost-efficient manner.

Requirements

  • Proficiency in Customer Service and Office Functions
  • Understanding of Operations, Procedures, and Policy
  • Experience in Answering Inbound Calls and Supervising
  • Familiarity with Hiring Processes
  • Knowledge of digital tools for Scanning, Receptionist Duties, and Troubleshooting

  • Proficient in using digital platforms
  • Excellent Communication Skills
  • Experience in Scanning Documents and Maintain Logs
  • Knowledge of Printing processes and handling Paper-related tasks
  • Understanding of Quality Assurance processes
  • Ability to Distribute Faxes and handle Service Calls
  • Experience in handling Confidential Documents
  • Willingness to work Overtime when necessary
  • Proficiency in tools related to 'About Time' software
