About the position

We are seeking an Office Services Clerk for our New York office. In this role, you will provide a variety of administrative and office services support for our growing office. If you enjoy working in a professional environment and performing various office duties, then we would appreciate hearing from you. This position will be performed onsite in our New York office. In this role, you will: Process daily mail; perform mail pickup and delivery at scheduled times. Maintain and supply the postage meter. Maintain paper levels in copiers and printers daily. Operate photocopy machine for large copying and scanning projects, as needed. Prepare legal records for electronic scanning, such as taping loose sheets, removing staples, and verifying consistent client information. Perform the scanning and quality control/validation process for legal documents. Open and close files in FileTrail and prepare labels. Prepare files for off-site storage including content description reports. Coordinate delivery and retrieval of files from off-site storage vendor. Assist with annual document destruction; shred files as necessary. Set up and break down conference rooms, as needed. Assist with outside deliveries, as needed. Provide assistance to the Office Services Supervisor as directed, including special projects. May be requested to perform other duties not listed above.

Requirements

  • High School diploma or G.E.D. equivalent.
  • Prior reception and/or general office experience.
  • Ability to communicate effectively with all levels of personnel.
  • Ability to work independently and as part of a team.
  • Good attention to detail.
  • Good judgment in solving problems.
  • Ability to ascend/descend a ladder to service the lights and/or access records files and supplies.
  • Physical strength and agility to permit full performance of the duties of the position, including bending, walking and lifting up to 30 pounds.

Nice-to-haves

  • Prior mailroom and file room experience and knowledge of office equipment such as photocopier, scanner etc.
  • Good knowledge of MS Office software applications.
