About the position

The Office Services Clerk is responsible for providing reception, hospitality, and administrative support to the office, ensuring a professional image of the firm through positive interactions with attorneys, staff, clients, and visitors. This role involves handling a high volume of calls, greeting guests, and performing various administrative tasks, all while working on-site five days a week.

Responsibilities

  • Monitor and stock copy centers with office supplies
  • Monitor and stock conference rooms with office supplies and beverages
  • Assist in maintaining guest offices and vacant offices
  • Assist with internal office moves, preparing for new hires, and clearing offices after departures
  • Work with appropriate teams to update office floor maps
  • Assist with scheduling and maintaining office cleanliness
  • Assist with weekly and monthly office events and initiatives
  • Move and set up tables, chairs and other equipment and supplies in conference rooms, break rooms and other meeting spaces including outdoor locations and off-site locations
  • Assist with delivering office supplies requests
  • Assist with routine cleaning of breakroom and beverage area equipment
  • Provide back up coverage to receptionist
  • Assist with identifying areas of opportunity to improve the overall office appearance
  • Provide back up support to the Office Administrator, Office Services Manager and Facilities Maintenance Specialist as needed
  • Other duties, as assigned

Requirements

  • Ability to work on-site five days per week
  • Ability to move approximately up to 25 lbs. unassisted
  • Ability to move larger items and heavier weights with assistance
  • Ability to bend, kneel, stand, lift and perform physical labor repetitively
  • Dependable transportation, proof of auto insurance, and a good driving record
  • Ability to work unusual hours, nights and/or weekends
  • Working knowledge of Microsoft Outlook, Word and Excel is desired
  • Excellent oral and written communication skills
  • Accuracy, attention to detail, and good organizational skills
  • Ability to work under pressure in a fast-paced environment
  • Strong time-management skills and ability to multi-task
  • Strong client service focus and ability to work effectively in a team environment
  • Self-motivation and ability to work with minimal supervision
