About the position

The Lord Fairfax Health District is seeking an Office Services Supervisor Sr. to manage clinic operations services and supervise a team of Office Service Specialists (OSS) to ensure efficiency in customer service and work flow processes. This role is critical in providing continual feedback, education, and on-the-job training to staff as areas of opportunity are identified. The Office Services Supervisor will work closely with management to set key performance indicators, monitor performance, and provide feedback throughout the department chain. Additionally, the supervisor will be expected to perform front-end duties and may be requested to travel throughout the district. In this position, the Office Services Supervisor will oversee multiple physical office sites, including Winchester City, Clarke County, and Frederick County, with staff performing various administrative, fiscal, and clerical functions. Key activities include determining priorities, scheduling and reviewing work, training, counseling, and formally evaluating employees, including recommending and taking disciplinary action when necessary. The supervisor will also evaluate and improve office productivity by recommending organizational changes as needed for each office, shift, or operational area supervised. Furthermore, the role involves interpreting and implementing state and local policies and procedures, ensuring compliance with program requirements, and collecting and analyzing data to inform decision-making. This position is a working supervisory role, meaning the supervisor will fill in when needed and be able to train staff in multiple programs, ensuring that the team operates effectively and efficiently in delivering services to the community.

Responsibilities

Requirements

  • Considerable knowledge of supervisor principles/practices, financial guidelines, and accounts receivable policies/procedures.
  • Excellent customer service and communication skills (oral and written).
  • Ability to work independently with minimal supervision.
  • Ability to work and contribute within collaborative relationships, including with the public.

Nice-to-haves

  • Experience managing in a healthcare/medical setting.
  • Experience in patient confidentiality (HIPAA).
  • Comprehensive knowledge of and experience in general office practices/procedures and business math.
  • Experience with electronic health records.
