About the position

The Office Shipping Clerk at HessAire Products is a vital role responsible for managing various clerical tasks and ensuring the smooth operation of shipping processes. This position involves creating and handling shipping documents, entering and confirming purchase orders (POs), and maintaining an organized filing system. The Office Shipping Clerk will also be tasked with updating paperwork and other documents, completing shipping documents and labels, and performing general office duties and errands as needed. In this role, you will be expected to manage the file system efficiently, enter and confirm purchase orders accurately, and maintain documents through word processing. You will help organize and maintain the office and common areas, ensuring a clean and efficient workspace. Additionally, you will create, maintain, and enter information into QuickBooks quickly and accurately, which is essential for tracking financial transactions related to shipping. The position requires familiarity with the Electronic Document Interchange (EDI) system to enter information and follow various customer shipping requirements. You will also be responsible for completing Bill of Ladings for LTL/Truckload shipments and preparing parcel shipments through carriers like UPS and FedEx. Scheduling shipments with carriers and performing other related duties as assigned will also be part of your responsibilities. This role demands punctuality and excellent attendance, as you will be working 40 hours a week, with the possibility of overtime if needed.

Responsibilities

  • Manage the file system.

  • Create, maintain, and enter information into QuickBooks quickly and accurately.

  • Follow different customer shipping requirements.
  • Complete Bill of Ladings for LTL/Truckload shipments.
  • Complete parcel shipments (UPS, FedEx, etc.) labels.
  • Schedule shipments with carriers.
  • Perform other related duties as assigned.

Requirements

  • 1+ years of office experience.
  • Ability to write clearly and perform data entry.
  • Warm personality with strong communication skills.
  • Ability to work well under limited supervision in a fast-paced environment.
  • QuickBooks experience is required.
  • Proficient in Microsoft Excel is a plus.
  • Shipping experience is a must.
