About the position

The Office Support Specialist at the Information Trust Institute is responsible for providing administrative support to faculty, staff, students, and research centers. This role involves coordinating travel, managing events, maintaining records, and assisting with communications and correspondence, ensuring smooth operations within the institute.

Responsibilities

  • Process travel requests and reimbursements for faculty, staff, and students.
  • Coordinate logistics associated with external visitors, including travel coordination and on-site logistics.
  • Assist in procuring materials/services needed for events and visitors.
  • Maintain records of fiscal transactions involving a variety of accounts.
  • Coordinate and support routine and ad hoc meetings, including room reservations and catering.
  • Assist with event coordination and execution for seminars, workshops, and conferences.
  • Produce, assemble, and distribute materials for events or visitors.
  • Add or update content on the website.
  • Request, collect, and compile content for quarterly and annual reports.
  • Assist with entering student appointments in the appointment database.
  • Assist with requests for keys and building access.
  • Compose correspondence and reports in a confidential manner.
  • Gather, provide, interpret, and maintain data for reporting and presentations.

Requirements

  • High school diploma or equivalent.
  • Two years of college coursework or work experience performing office/clerical activities.
  • One year of work experience comparable to the second level of this series.
  • Proficiency with Microsoft Office software.
  • Knowledge of University of Illinois policies and procedures.

Nice-to-haves

  • Familiarity with travel, purchasing, and vendor payment processes.
  • Ability to learn web-based content management systems.
  • Excellent organization and communication skills.
