About the position

RGR Property Management is seeking a professional property manager for a luxury condominium property located in Hingham, Massachusetts. The ideal candidate will have at least three years of experience as an on-site property manager for condominium associations. This role requires projecting a consistent image that complements the community's lifestyle in appearance, performance, and service orientation, while working cooperatively with the Board of Trustees and residents. The property manager will oversee the day-to-day operations of a luxury 77-unit condominium complex, managing the front desk and concierge responsibilities, including package and food deliveries, and announcing visitors and delivery personnel to unit owners. The property manager will ensure that the rules and regulations of the property are adhered to by residents and will arrange for and obtain bids for various services, including seasonal contracts, exterminators, trash collection, and upcoming construction projects. Regular inspections of the building's common areas and grounds will be performed to ensure maintenance and cleanliness needs are met. The property manager will attend Board meetings, present management reports, proposals, and the status of current and future projects, while maintaining meeting minutes. These meetings occur once per quarter after hours. In addition, the property manager will direct the activities of the maintenance technician, determine daily projects needed on the properties, prepare work schedules, and ensure completion. They will also process and maintain accurate accounts payables for the property, review monthly financials and budget variances with the Board of Trustees, and prepare the annual budget for approval. The role includes assisting with insurance claims, coordinating resident move-ins and move-outs, and overseeing building security systems and procedures. The property manager will maintain accurate records, investigate resident disturbances, and maintain good public relations with residents, unit owners, board members, and co-workers. The ideal candidate will possess exceptional written and verbal communication skills, a commitment to detail, and the ability to plan and organize projects effectively.

Responsibilities

  • Oversee the day-to-day operations of a luxury 77 Unit Condominium Complex.
  • Manage front desk and concierge responsibilities for package and food deliveries.
  • Ensure adherence to property rules and regulations by residents.
  • Arrange for and obtain bids for seasonal contracts, exterminators, trash collection, and construction projects.
  • Manage and oversee cleaning company and trash disposal for the building.
  • Perform regular inspections of common areas and grounds for maintenance and cleanliness.
  • Attend Board meetings and present management reports, proposals, and project statuses.
  • Direct activities of the maintenance technician and determine daily projects needed.
  • Prepare work schedules and follow through to completion.
  • Process and maintain accurate accounts payables for the property.
  • Review monthly financials and budget variances with the Board of Trustees.
  • Prepare the annual budget for Board approval.
  • Assist with insurance claims as they arise.
  • Coordinate resident move-ins and move-outs.
  • Coordinate Open Houses with real estate agents as needed.
  • Oversee building security systems, processes, and procedures.
  • Administer renovation application process and coordinate individual unit renovations with owners.
  • Maintain accurate records including pet records, rental units, leases, parking records, and storage records.
  • Investigate resident disturbances, violations, and complaints to resolve problems.
  • Maintain good public relations and interact positively with residents, unit owners, board members, and co-workers.
  • Work with the association's attorney for any related legal items.
  • Maintain regular correspondence with residents.
  • Develop a positive working relationship with the Umbrella Trust for shared services.

Requirements

  • At least three years of experience as an on-site property manager for condominium associations.
  • Exceptional written and verbal communication skills.
  • Strong attention to detail and organizational skills.
  • Ability to plan and organize projects in advance.
  • Proficiency in Microsoft Word and Excel.
  • Strong work ethic and dependability.
  • Availability for after-hours emergency calls.
