About the position

Options for Community Living, Inc. is seeking an Onboarding & Engagement Specialist to join our HR team. This role is pivotal in ensuring a smooth onboarding process for new employees and enhancing employee engagement within the organization. The ideal candidate will be a graduate of an accredited college or university with a Bachelor’s degree related to human resources and possess a minimum of two years of experience in human resources, human services, or a similar administrative role. The Onboarding & Engagement Specialist will be responsible for the onboarding and orientation of new staff, assisting with internal recruitment, and ensuring compliance with the agency's personnel policies and procedures. In this position, the specialist will handle various responsibilities, including responding to HR-related inquiries, coordinating staff promotions and transfers, and providing guidance to supervisors to select the most qualified candidates. The role also involves making job offers, updating the applicant tracking system, and serving as an authorized user for background checking databases. Conducting new employee orientations, ensuring the completion of all new hire paperwork, and maintaining the HRIS and learning management system are also key duties. The Onboarding & Engagement Specialist will actively participate in the agency's employee engagement committee, distribute onboarding surveys, and analyze the data to identify trends and recommend improvements. Additionally, the specialist will maintain employee files in accordance with federal record-keeping guidelines and ensure that all forms are current and accurate. This role may also require cross-training on other HR functions and performing miscellaneous duties to ensure the efficient operation of the HR department.

Responsibilities

  • Responsible for the onboarding and orientation of new staff.
  • Assist with internal recruitment of staff.
  • Ensure compliance with the agency's personnel policies and procedures.
  • Receive and respond to Human Resources phone calls.
  • Answer questions and route calls to appropriate staff members as necessary.
  • Coordinate staff promotions and transfers.
  • Provide guidance and coaching to supervisors for candidate selection.
  • Make job offers to selected candidates.
  • Update applicant tracking system to track candidates throughout the recruiting and hiring process.
  • Serve as an authorized user for background checking databases.
  • Conduct new employee first day orientation.
  • Ensure all new hire paperwork is completed thoroughly and accurately.
  • Maintain HRIS and learning management system.
  • Perform initial entry of new hires and update upon transfer, promotion, and other relevant changes.
  • Distribute onboarding surveys and record the data.
  • Notify management of any trends and provide recommendations for improvement.
  • Maintain employee files according to federal record-keeping guidelines.
  • Be an active member of the agency's employee engagement committee.
  • Serve as back-up for performing reference checks and attending job fairs.
  • Train and remain current on employment laws.
  • Cross train on other HR functions and procedures.

Requirements

  • Graduate of an accredited college or university with a B.A. or B.S. degree related to human resources.
  • A minimum of 2 years of experience in human resources, human services, or another administrative position.
  • Excellent communication, interpersonal, and decision-making skills.
  • Excellent knowledge of HRIS and ATS systems.
  • Ability to prioritize and multi-task effectively.
