About the position

The Onboarding Experience Specialist (OES) plays a crucial role in supporting the talent acquisition process through both pre-hire and post-hire activities. As a member of the Onboarding Experience Team (OET), the OES is dedicated to ensuring a high-quality onboarding experience for new associates, facilitating smooth communication between departments, and providing excellent customer service throughout the hiring process.

Responsibilities

  • Enter and track candidate pre-employment journey.
  • Direct day-to-day onboarding operations to ensure timely, accurate, efficient, and courteous delivery.
  • Communicate with HR departments to ensure a smooth hiring process for new associates.
  • Review submittals against job requisition and candidate application for compliance.
  • Review background and Associate Wellness clearance to ensure compliance with organizational standards.
  • Ensure all candidates receive a warm welcome call and email during their pre-boarding experience.
  • Monitor vendor systems daily to ensure progress and escalate issues as necessary.
  • Provide excellent customer service to candidates and client teams by responding quickly to inquiries.
  • Assist vendors with completion of required checks when necessary.
  • Act as a key contact for onboarding issues and monitor candidate onboarding tasks for completion.
  • Assist with building new client audit detail procedures for candidate orders.
  • Ensure the new hire file contains all documentation required by regulatory agencies.
  • Schedule associates for training classes in partnership with the Center for Learning.
  • Schedule associates for Associate Wellness Prescreen appointments.
  • Participate in continuous process improvement initiatives.

Requirements

  • High School Diploma and two years of relevant work experience.
  • 1 year of customer service experience.
  • Proficient in Microsoft Office - Outlook, Word, Excel, PowerPoint.
  • Ability to work autonomously with minimal supervision.
  • Strong critical thinking skills.
  • Strong communication skills and professional presence.
  • Ability to maintain composure in a stressful office environment.

Nice-to-haves

  • Basic knowledge of HR practices with 1 year of HR/Onboarding experience.
  • Experience with PeopleSoft, Hyland, Taleo, and Applicant Tracker Database or ERP, CRM, and ATS systems.
  • Bilingual.
