About the position

The Onboarding Payroll Specialist position at EC Electric is a vital role within the Accounting Department, primarily focused on facilitating the payroll setup for new employees. This position is essential for ensuring that new hires are integrated into the payroll system efficiently and accurately. The specialist will work closely with the Field Operations Coordinator to implement onboarding processes, which may occur up to twice a week. In the absence of the Field Operations Coordinator, the Onboarding Payroll Specialist will act as a stand-in, ensuring continuity in operations. In addition to onboarding, the role involves processing a high volume of weekly certified payroll reports and maintaining employee files. The specialist will be responsible for fully processing new hires into the payroll system within 24 hours of their hire date. Other duties include preparing and tracking certified payroll reports, auditing timesheets for approximately 500+ employees, filing and processing Intent to Pay Prevailing Wage/Affidavit of Wages Paid, and handling employment claims. The position also requires answering employee inquiries regarding pay, managing heavy phone and email volumes, and completing additional related assignments as needed. This role is crucial for maintaining the integrity and accuracy of payroll operations within the company, contributing to EC Electric's commitment to quality and employee fulfillment. The Onboarding Payroll Specialist will play a key role in ensuring that all payroll processes are executed smoothly and efficiently, supporting the overall mission of EC Electric to provide superior craftsmanship and a safe work environment.

Responsibilities

  • Work with the Field Operation's Coordinator to implement the weekly in-office onboarding (up to twice a week)
  • Act as stand in for Field Operation's Coordinator in their absence
  • Fully process new hires into payroll system within 24 hours of hire
  • Prepare and track certified payroll reports
  • Key, batch, and audit timesheets of approximately 500+ employees (as backup)
  • File and process Intent to Pay Prevailing Wage/Affidavit of Wages Paid
  • Process employment claims
  • Process new hire packets
  • Answer questions from employees regarding pay
  • Manage heavy phone and email volume
  • Complete additional related assignments as needed

Requirements

  • Ability to work successfully in a deadline-driven environment with frequent interruptions
  • Viewpoint or similar payroll software experience, preferred
  • Excellent written and verbal communication skills
  • High attention to detail
  • Very organized
  • Outstanding customer service skills
  • Proficiency in Word and Excel
  • Union payroll experience highly preferred
  • Construction payroll/office experience highly preferred
