About the position

ARC Group is seeking a dedicated HR Associate/Onboarding Specialist for our esteemed client in the hospitality industry located in Miami, FL. This role is initially offered as a contract position through March 2025, with the potential for extension or conversion to a permanent role based on performance. The position requires on-site presence for four days a week, with the option to work remotely on Fridays from the company's headquarters. Please note: Applicants requiring sponsorship now or in the future are not eligible to apply for this position. As an Onboarding Specialist, you will deliver a seamless and efficient onboarding experience for over 1,200 associates, ensuring the timely completion of all employment documentation, including medical clearances, visas, and background checks. You will collaborate closely with the leadership team, entertainment operations personnel, and performer administration team members, while also working independently as needed. Your responsibilities will include managing the organization and collection of pre-employment documents, utilizing company databases and systems to track and process documentation through to final approval. You will assemble and verify all new hire documentation, ensuring completeness and accuracy, and coordinate with internal support teams, departments, and directly with cast members to streamline the onboarding process. Additionally, you will assist with logistics related to travel and accommodation arrangements for cast and creative team members, handle inquiries from cast members, providing prompt and effective problem resolution, and provide administrative support to day-to-day operations and specialized projects as assigned by Royal Caribbean Productions management. Participation in team meetings, one-on-one sessions, and small group work sessions will be expected, while also maintaining productivity in independent work settings. General administrative assistance will be offered as needed to support office operations.

Requirements

  • Bachelor's degree in Communications, Business Administration, or a related field from an accredited college or university is preferred.
  • A minimum of one year of relevant experience in onboarding is required.
  • Proficiency in Microsoft Word, Smartsheet, Excel, Lotus Notes, PowerPoint, Outlook, and other relevant computer systems.
  • Strong verbal, written, and listening communication skills, coupled with excellent research and analytical abilities.
  • Experience working on special projects is highly desirable.

Nice-to-haves

  • Bilingual proficiency in English and another language is preferred but not required.
