About the position

UPMC University of Pittsburgh Physicians is seeking a dedicated Onboarding Specialist to join their Health Information Management team located in Oakland. This full-time position offers a competitive hourly wage ranging from $19.01 to $30.17 and is designed for individuals who are passionate about facilitating the credentialing processes for healthcare providers. The Onboarding Specialist will work Monday through Friday during daylight hours, with the possibility of remote or hybrid work options, making it an excellent opportunity for those looking for flexibility in their work environment. The Onboarding Specialist plays a crucial role in the Physician Services (PS) department, which encompasses 23 specialty departments and community medicine practices. This department is responsible for overseeing the credentialing of physicians and Advanced Practice Providers (APPs) who serve patients across over 800 practice locations and maintain privileges in hospitals throughout the UPMC health system and neighboring states. The Onboarding Specialist will lead, coordinate, and monitor the credentialing processes in accordance with departmental and organizational policies and procedures. This includes facilitating the initial appointment and reappointment processes for physicians and APPs, ensuring compliance with all necessary regulations and standards. In this role, the Onboarding Specialist will act as a liaison between various stakeholders, including providers, departments, the Credentials Verification Office (CVO), medical staff offices, and Enrollment. The position requires a strong focus on maintaining the accuracy and integrity of the credentialing database, providing regular status reports, and ensuring that all documentation is complete and accurate. The Onboarding Specialist will also be responsible for data entry, maintaining worklists, and assisting providers with the medical license and DEA license application and renewal processes. Excellent communication skills, both verbal and written, are essential for success in this position, as the Onboarding Specialist will interact with a diverse range of individuals and departments.

Responsibilities

  • Obtain necessary documentation from providers and other sources to facilitate the initial credentialing and reappointment process.
  • Identify issues that require additional investigation, working closely with providers and leads to address discrepancies and ensure appropriate follow-up.
  • Review portal applications, facility-specific forms, and state agreement documents for accuracy and completeness before submission.
  • Process applications efficiently and accurately according to established procedures and time frames.
  • Assist providers with the medical license and/or DEA license application and renewal process.
  • Maintain worklists and provider-specific records in the credentialing database, ensuring all important details are documented.
  • Perform data entry and scans accurately and efficiently according to established policies, procedures, and guidelines.
  • Compile and maintain current and accurate data for all providers, including copies of current state licenses, DEA certificates, and clearances to ensure timely renewals.
  • Stay knowledgeable of the status of each assigned process and answer inquiries related to providers' credential status and approved privileges in a timely manner.
  • Assist CVO with primary source verification when needed.
  • Assist with the distribution of payor signature packets to providers and work closely with Enrollment to ensure timely return of documents.
  • Maintain excellent communication (verbal, written, and electronic) with all customers, including providers, departments, the CVO, medical staff offices, Enrollment, the APP office, and Legal.
  • Demonstrate a service-oriented approach by conveying courtesy, respect, and a positive attitude, showing initiative and offering assistance to other staff.
  • Maintain confidentiality of provider information and perform other miscellaneous job-related duties as assigned.

Requirements

  • High school diploma or equivalent required; college degree preferred.
  • Excellent data entry and computer skills required.

  • Ability to work independently, be flexible, and function well in high-stress situations.
  • Prior credentialing experience preferred.

Nice-to-haves

  • Experience in healthcare or medical credentialing processes.
  • Familiarity with credentialing software, particularly MSOW.
