About the position

The HR Onboarding Specialist is part of the Human Resources team, that supports the activities of multiple NANA subsidiaries in varied lines of business. The primary responsibilities of this position start after a candidate's acceptance of an offer letter and ends upon pre-employment requirement clearances. Some of the activities in this process include but are not limited to, coordination and follow up with candidate for initial onboarding meeting to complete company and contract required paperwork and processes, such as I-9, Fit for Duty, Post-Offer Physicals, Drug Tests, Criminal Background and any other type or levels required by a client's contract and/or a specific position. It will require heavy interface with recruiting, HSSE, hiring managers, candidate and external vendors. Core job duties are time sensitive and highly confidential.

Responsibilities

  • Initiate onboarding for new hires in a timely manner.
  • Follow up and coordinate with candidates for onboarding requirements and appointments.
  • Ability to follow up and coordinate with candidate, vendors, internal and external stakeholders in an organized, analytical manner, and have a sense of urgency for time sensitive delivery.
  • Ensure compliance and consistency on all pre-hire clearance requirements including new hire paperwork and supporting company/contract documents, I-9, drug testing, physical assessments, fit for duty and backgrounds in accordance with company and contract requirements.
  • Track and maintain all new hires in the onboarding process with proper forms needed for each specific clearance requirement(s).
  • Track all clearances and ensure they are being processed in a timely manner.
  • Communicate with recruiting and hiring managers regarding status or questions in the clearance process.
  • Provide assistance to new hires to complete paperwork, background release information and other tasks as needed, including the use of Remote Intake Forms.
  • Participate in and support various projects, as requested; overtime may be required sometimes with minimum notice.
  • Other duties that are pertinent to the department or unit's success also may be assigned.

Requirements

  • High School diploma or equivalent
  • Must have at least one year of human resources experience or at least 3 years of directly related general office experience in a high customer service environment.
  • Intermediate computer skills in Microsoft Word, Excel, Outlook and other system applications
  • Consistent timeliness and attendance
  • Must demonstrate strong written and verbal communication skills
  • Strong attention to detail and resourcefulness
  • Ability to work in a tight team environment and independently for team success
  • Excellent customer service to internal and external customers, and ability to handle complex customer service issues in a professional manner, exercising good judgment in dealing with sensitive issues

Nice-to-haves

  • Experience with I-9, E-verify processing desired
  • Experience with applicant tracking systems (ICIMS preferred), background screening and drug testing process
