About the position

The Onboarding Specialist at NYC Health + Hospitals plays a crucial role in HR Operations, focusing on the recruitment and onboarding processes for new hires. This position involves managing various HR functions, ensuring compliance with civil service regulations, and maintaining the integrity of employee data within the PeopleSoft system. The specialist will act as a liaison between candidates and hiring departments, facilitating a smooth onboarding experience while adhering to organizational policies and procedures.

Responsibilities

  • Handle onboarding of new hires, transfers, and civil service processing.
  • Perform data entry and review of employment documents.
  • Partner with the Background Investigation Coordinator to ensure all required background checks are completed.
  • Contact candidates to schedule OHS appointments, extend preliminary offers, and send onboarding documents.
  • Follow up with potential candidates regarding document submission and direct any HR-related questions.
  • Act as the point of contact between the candidate and the hiring departments.
  • Review onboarding documents for completeness including I-9, E-Verify, and work/education verification.
  • Review and process employment actions in PeopleSoft and send corresponding notification letters.
  • Ensure tasks are completed accurately and timely; may perform transactional work in the absence of others.
  • Support other HR staff and ensure all relevant HR practices and policies are being followed.
  • Maintain accuracy and integrity of PeopleSoft and personnel files.
  • Contribute to the maintenance of reports, including the pipeline.
  • Assist with filing of personnel-related documents.

Requirements

  • Associate's Degree in Human Resources Management, Public Relations, Healthcare Administration, or a related discipline; or a High School Diploma with two years of relevant experience in human resources or administration.
  • At least two years of prior HR experience in a public agency or governmental sector, with at least one year of experience in onboarding Human Resources.
  • Working knowledge of PeopleSoft and transactional Human Resources experience, including onboarding.
  • Strong customer service skills and working knowledge of Microsoft Office products.
  • Strong interpersonal and relationship-building skills.
  • Analytical and creative problem-solving skills.
  • Solid time management skills and the ability to work under pressure with tight deadlines.

Nice-to-haves

  • SHRM or PHR certification.
  • Experience working with a union workforce.
  • Understanding of civil service administration processes.
  • Ability and willingness to work extended and flexible hours as needed.
