About the position

MedStar Health is seeking an Onboarding Specialist to enhance our Human Resources team. This role is pivotal in delivering an exceptional new-hire experience, ensuring that every step of the onboarding process is executed with precision and care. The Onboarding Specialist will oversee the entire onboarding cycle, starting from the moment the offer letter is signed until the new associate officially begins their employment. This position is crucial for both new hires and current associates transitioning into new roles within the MedStar Health system. The Onboarding Specialist will be responsible for maintaining compliance with standard onboarding practices and procedures. This includes following up with various departments, vendors, and candidates to ensure that all required documentation is accurate and submitted in a timely manner. The role also involves maintaining electronic files and records within the Human Resources system, assisting with various HR support activities, and monitoring the completion of employment documents, background checks, health screenings, and training requirements. In collaboration with recruiters, the Onboarding Specialist will manage the flow of pre-employment documentation, ensuring effective communication with hiring managers, recruiters, and new hires. The preparation of new hire paperwork for orientation and accurate entry into the HRIS system is also a key responsibility. The Onboarding Specialist will proactively identify any barriers to timely onboarding and work collaboratively with new hires and team members to resolve these issues. Additionally, the role includes ensuring a smooth transition for current associates moving to new roles, confirming all necessary documentation and HRIS entries are completed. Constant communication with candidates, recruiters, and hiring managers is essential to ensure that all steps of the hiring process are completed on time.

Responsibilities

  • Ensure compliance with standard onboarding practices and procedures.
  • Follow up with appropriate departments, vendors, and candidates to ensure required documentation is accurate and timely.
  • Maintain Human Resources electronic files and records, assisting with HR support activities.
  • Monitor and review all returned employment documents and conduct final reviews of applications, immigration, background checks, health screenings, and training requirements.
  • Partner with recruiters to send, receive, and track required pre-employment documentation for new hires; communicate with hiring managers, recruiters, Occupational Health, and new hires.
  • Prepare new hire paperwork for orientation and ensure accurate entry into the HRIS system.
  • Oversee the successful and timely onboarding of all new hires once the final offer is accepted and the associate attends orientation.
  • Proactively identify barriers to timely new hire onboarding and engage new hires and/or additional team members to resolve issues.
  • Ensure successful follow-up and timely transfer of current internal associates moving to new roles, confirming all required documentation and HRIS entries.
  • Maintain constant communication with candidates, recruiters, and hiring managers to ensure timely completion of all required steps in the hiring process.

Requirements

  • Associate degree or equivalent combination of relevant experience and education.
  • 1-2 years recent experience in high volume scheduling, administrative, or similar human resources experience.
  • Critical thinking, problem-solving, time management, organizational skills, accountability/ownership, and effective communication skills.
  • Ability to adhere to detail, accuracy, and thoroughness.
  • Strong interpersonal and customer service skills for effective communication with new hires and transferring associates.
  • Ability to effectively multi-task and work under strict deadlines.
  • Knowledge of HR and payroll processes is helpful.
  • Proficient in MS Office applications, including Outlook, Word, and Excel.
