About the position

The Onboarding Specialist at Stellar Senior Living is responsible for managing the entire employee integration process from the acceptance of the job offer through the introductory period. This role ensures a smooth onboarding experience for new hires, aligning with the company's commitment to providing a stellar life for residents and employees alike.

Responsibilities

  • Coordinate and execute the new hire onboarding process to ensure a smooth integration of all incoming employees.
  • Prepare and maintain required onboarding steps within the HRIS (Paylocity) and meet all federal and state hiring requirements.
  • Ensure that all pre-employment documents, background checks, and other compliance forms are completed before employees begin work.
  • Collaborate with IT to build and maintain onboarding integrations and automation.
  • Create and implement comprehensive onboarding schedules and materials tailored to new hires.
  • Assemble onboarding kits that include necessary resources, manuals, and equipment.
  • Conduct weekly new hire orientations, introducing Stellar's culture, values, and select policies and procedures.
  • Serve as a point of contact for new hires during their introductory period, addressing any questions or concerns they may have.
  • Collaborate with hiring managers and community department heads to create specific onboarding plans for various roles.
  • Facilitate training on company tools, platforms, and software systems relevant to the new hire's role.
  • Assess the onboarding experience and make recommendations for improvements based on feedback.
  • Administer and maintain Stellar's learning management system (Relias) to provide new hires access to required training modules.
  • Enroll new employees in relevant courses and/or training plans and track their progress through required onboarding and compliance training.
  • Work with subject matter experts and department heads to ensure that training content is relevant and compliant with federal and state requirements.
  • Generate and maintain reports and follow up with community leadership to ensure training compliance.
  • Troubleshoot LMS issues and support end users, escalating technical issues when necessary.

Requirements

  • 1-3 years of experience in onboarding, HR, employee training, or a related field (required).
  • Experience with Learning Management Systems (LMS) administration or similar online training platforms (preferred).
  • Experience using Human Resources Information Systems (HRIS), onboarding software, or other HR tools (preferred).
  • Familiarity with HRIS systems (Paylocity will be given preference) and LMS platforms.
  • Strong skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with virtual meeting platforms (Microsoft Teams).
