About the position

The Onboarding Specialist at CarepathRx plays a crucial role in transforming hospital pharmacy operations by providing essential support to the RN Intake Coordinators. This position is primarily focused on ensuring that referral information is accurately captured and processed, which is vital for the seamless operation of the Intake Department. The Onboarding Specialist will act as the point person for intake and data entry, ensuring that all referral information is complete and accurate. This role requires a proactive approach to communication and collaboration with various stakeholders, including referral sources and internal teams. In this position, the Onboarding Specialist will be responsible for obtaining and documenting detailed referral information from multiple sources, including electronic submissions, phone calls, faxes, emails, and instant messages. The specialist will also notify the reimbursement and intake teams of any pending referral information and assign it to the appropriate team based on the current workflow. Additionally, the Onboarding Specialist will coordinate home health nursing visits for patients requiring home infusion and enteral services, ensuring that all workflow processes are timely and accurate. The role demands effective communication skills, as the Onboarding Specialist will need to express ideas clearly and utilize appropriate communication channels to resolve issues. The specialist is expected to take the initiative in presenting ideas and suggestions to management, demonstrating a commitment to continuous improvement. Achieving departmental goals and maintaining high-quality standards in work performance are essential aspects of this role, as is the ability to work effectively and reliably on all assigned tasks. The Onboarding Specialist will also be expected to perform other duties as assigned, contributing to the overall success of the team and the organization.

Responsibilities

  • Obtain and document detailed referral information from all sources (electronic, phone, fax, email, IM) and enter into various computer databases.
  • Notify reimbursement and intake of pending referral information and assign to correct team according to current workflow.
  • Act as a liaison between intake and referral sources with initial referral information.
  • Obtain and coordinate home health nursing visits for home infusion and enteral patients when needed.
  • Ensure workflow processes are timely and accurate.
  • Incorporate new processes and information into daily work.
  • Demonstrate effective communication skills and express ideas clearly to resolve issues.
  • Maintain expected productivity and follow through on all assigned tasks.
  • Achieve goals and standards for performance as defined by department and company.
  • Perform in accordance with system-wide competencies/behaviors.
  • Perform other duties as assigned.

Requirements

  • High school diploma or equivalent required.
  • 2-year college or business degree preferred.
  • Medical terminology and/or previous health care experience required.
  • 2 or more years customer service-related experience required.
  • Good verbal and written communication skills.
  • Computer literate, with the ability to utilize standard software applications including Windows and MS Office Suite (Outlook, Word, and Excel).
  • Good organizational skills with attention to detail and ability to multitask.

Nice-to-haves

  • Call center experience preferred.
