About the position

The Onboarding Specialist at Stellar Senior Living is responsible for managing the entire employee integration process, ensuring a smooth transition for new hires from the acceptance of their job offer through their introductory period. This role involves coordinating onboarding activities, conducting orientations, and administering the learning management system to facilitate training and compliance for new employees.

Responsibilities

  • Coordinate and execute the new hire onboarding process to ensure a smooth integration of all incoming employees.
  • Prepare and maintain required onboarding steps within the HRIS (Paylocity) and ensure compliance with federal and state hiring requirements.
  • Ensure completion of all pre-employment documents, background checks, and compliance forms before employees begin work.
  • Collaborate with IT to build and maintain onboarding integrations and automations as necessary.
  • Create and implement comprehensive onboarding schedules and materials tailored to new hires.
  • Assemble onboarding kits that include necessary resources, manuals, and equipment.
  • Conduct weekly new hire orientations, introducing Stellar's culture, values, and policies.
  • Serve as a point of contact for new hires during their introductory period, addressing questions or concerns.
  • Collaborate with hiring managers to create specific onboarding plans for various roles.
  • Facilitate training on company tools, platforms, and software systems relevant to the new hire's role.
  • Assess the onboarding experience and make recommendations for improvements based on feedback.
  • Administer and maintain the learning management system (Relias) to provide new hires with access to required training modules.
  • Enroll new employees in relevant courses and track their progress through required training.
  • Work with subject matter experts to ensure training content is relevant and compliant with requirements.
  • Generate and maintain reports and follow up with community leadership to ensure training compliance.
  • Troubleshoot LMS issues and provide support to end users.

Requirements

  • 1-3 years of experience in onboarding, HR, employee training, or a related field (required).
  • Experience with Learning Management Systems (LMS) administration or similar online training platforms (preferred).
  • Experience in using Human Resources Information Systems (HRIS), onboarding software, or other HR tools (preferred).
  • Familiarity with HRIS systems (Paylocity will be given preference) and LMS platforms.
  • Strong skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with virtual meeting platforms (Microsoft Teams).
