The Onboarding Specialist will be responsible for managing all aspects of the onboarding process, from preparing new hire data in the HRIS to ensuring compliance with regulatory requirements. This role requires a proactive approach to communication with key stakeholders, including hiring managers and recruiters, to keep them informed about candidate statuses and onboarding progress. The Onboarding Specialist will also conduct HR new hire orientations, ensuring that all new employees are well-informed about their roles and the company culture. This position demands a high level of organization and attention to detail, as the specialist will be responsible for tracking onboarding touchpoints and ensuring that all necessary documentation is completed accurately and on time. The ideal candidate will have a strong background in human resources, particularly in recruitment and retention, and will be familiar with HR laws and compliance requirements. Responsibilities

  • Prepare and ensure completion of all new hire onboarding data in HRIS.
  • Communicate candidate status to key stakeholders such as hiring managers, recruiters, and other HR team members.
  • Schedule pre-employment requirements in a timely manner.
  • Prepare and send rejection letters through HRIS ATS.
  • Complete required references for all new hires.
  • Present HR new hire orientations in person as needed.
  • Ensure 100% completion of requirements for all new hires.
  • Ensure accurate employee data is inputted into ATS and HRIS.
  • Collaborate with new hire candidates and serve as the main point of contact for online onboarding and orientation completion.
  • Ensure 100% compliance for all regulatory new hire requirements, including Prometrics, streamline verify, licensures, certifications, I-9 forms, and work permits.
  • Prepare and monitor new hire background checks (local and out of area).
  • Act as the primary authorized user for CHRC submissions, monitoring daily according to DOH policies and procedures.
  • Prepare Criminal Analysis Form for all required CHRC results and review with the VP of Human Resources for final determination.
  • Prepare, distribute, and track onboarding touchpoints for new hires.
  • Participate in conducting monthly, quarterly, and annual HR corporate compliance audits.

Requirements

  • Associate's degree in a related field of study preferred.
  • 3 or more years of experience in handling HR responsibilities with an emphasis on recruitment and retention.
  • General knowledge of Human Resource laws, regulations, and compliance requirements.
  • Proficient computer skills, including MS Office applications.
  • Experience using HRIS systems, preferably PayCor.
