The Onboarding Specialist plays a crucial role in this process by effectively reviewing and processing HR service requests and transactions related to various HR specialties. This position requires a high degree of accuracy and adherence to established procedures, ensuring that all service standards and metrics are met. The Onboarding Specialist will provide essential information and navigate the organization and vendors on behalf of Northside Hospital employees, ensuring a smooth onboarding experience for new hires. The primary responsibilities of the Onboarding Specialist include processing new hire information, which involves entering confidential data into the HRIS system and creating HR employee files. The specialist will perform transactions related to HR and Payroll specialties, ensuring strict adherence to written procedures. Monitoring and evaluating the completion of background check reports, Employee Health clearance, and certification/licensure documentation is essential to ensure compliance with Northside policy. The Onboarding Specialist will also confirm all onboarding requirements and clearance processes for Managers, Directors, Executives, and Physicians, ensuring that all elements of the background process are efficiently managed prior to the new hire's start date. Additionally, the Onboarding Specialist is responsible for maintaining an accurate and up-to-date onboarding database, ready for each orientation class. Providing a high level of customer service to all facilities and maintaining strong relationships with HR team members and leaders is vital. The specialist must stay informed about legal requirements and government reporting regulations affecting Human Resources functions, ensuring compliance with policies and procedures. Training and mentoring new team members, conducting periodic monitoring of processes for accuracy and compliance, and addressing compliance issues promptly are also key aspects of this role.

Responsibilities

  • Process new hire information, including entry of confidential information into HRIS system and creation of HR employee file.
  • Perform transactions related to HR and Payroll specialties with high accuracy and adherence to procedures.
  • Monitor and evaluate completion of background check reports, Employee Health clearance, and certification/licensure documentation.
  • Confirm onboarding requirements and clearance processes for Managers, Directors, Executives, and Physicians.
  • Ensure onboarding database is accurate, up-to-date, and validated daily for new employees prior to orientation.
  • Provide high level of customer service to all facilities and maintain strong relationships with HR team members and leaders.
  • Maintain knowledge of legal requirements and government reporting regulations affecting HR functions.
  • Provide training and mentoring to new team members.
  • Conduct periodic monitoring of end-to-end processes to ensure accuracy and regulatory compliance.
  • Report compliance issues and risks to supervisor immediately.

Requirements

  • High School Diploma or equivalent (GED).
  • Two (2) years of Human Resources or customer service related experience.
  • High degree of emotional intelligence.
  • Strong communication and organizational skills.
  • Strong customer service skills and attitude.
  • Ability to work with diverse personalities.
  • Strong multi-tasking ability and ability to work through ambiguity.
  • General knowledge of Human Resources policies and procedures and Healthcare compliance.
  • Ability to work with a team to create effective departmental strategies and meet team goals.
  • Strong personal computer skills, including spreadsheet and database usage, Excel and Microsoft Word.
  • Must be technology savvy and highly organized.
  • Ability to work flexible hours, including evenings and/or weekends.

Nice-to-haves

  • Bachelor's Degree from an accredited college or university.
  • Two (2) years of HR Shared Services experience, representing HR/Health insurance industry.
  • Competent with Microsoft Excel.
