About the position

The Onboarding Specialist plays a crucial role in the facilitation of clinician onboarding and cross-boarding activities, managing the entire process from screening and risk assessment to credentialing and support throughout the clinician's first year of employment. This position requires active collaboration with various stakeholders to ensure that all onboarding activities align with the clinician's anticipated start date. The Onboarding Specialist is responsible for developing tailored onboarding plans for each clinician, ensuring a positive experience and successful integration into the organization. This role involves initiating escalation activities, developing mitigation plans, and maintaining communication with all relevant parties to address any issues that may arise during the onboarding process. In addition to managing the onboarding process, the Onboarding Specialist is tasked with building strong relationships with clinicians to support retention outcomes. This includes providing project management skills to navigate multiple deadlines and ensuring that all necessary documentation is collected and tracked efficiently. The Onboarding Specialist must utilize critical thinking and independent judgment to adapt onboarding plans as needed and escalate issues when necessary. The role also involves facilitating communication between clinicians and departments such as Credentialing and Enrollment, ensuring that clinicians are informed and supported throughout their onboarding journey. The Onboarding Specialist is expected to document all actions and maintain the integrity of databases related to onboarding activities. They will also participate in team processes, contribute to team goals, and assist in various projects as assigned. Flexibility and adaptability are essential traits for this position, as the Onboarding Specialist will encounter diverse scenarios and personalities throughout their work. Overall, this role is vital in ensuring a smooth onboarding experience for clinicians, ultimately contributing to their success and satisfaction within the organization.

Responsibilities

  • Manage the onboarding and cross-boarding process for new and existing clinicians.
  • Create individualized onboarding plans for each clinician and their associated facilities.
  • Facilitate communication between all relevant departments to ensure a smooth onboarding process.
  • Track and obtain necessary onboarding documents from clinicians.
  • Provide regular communication and support to resolve any conflicts that may arise during onboarding.
  • Build relationships with clinicians to support retention outcomes throughout their first year.
  • Utilize project management skills to meet deadlines and manage multiple clinicians' onboarding processes.
  • Initiate collection of clinician documents on behalf of Human Resources, Credentialing, Enrollment, and Payroll.
  • Facilitate clinician support calls with Credentialing and Enrollment as needed.
  • Monitor MSO processing and facility meeting dates to keep clinicians informed of potential issues.
  • Document all actions and maintain the integrity of onboarding databases.
  • Collaborate with stakeholders to ensure accurate and timely handoff to Risk.
  • Participate in various projects and team processes as assigned.

Requirements

  • College degree preferred or 3 years of experience using critical thinking and independent decision-making.
  • Project coordination and/or management experience is a plus.
  • 1+ years of experience within a healthcare setting.
  • Excellent communication and listening skills.
  • Strong problem-solving and conflict resolution skills.
  • Proficiency in word processing, spreadsheet, email, database management, and presentation software.
  • Familiarity with technology and adaptability to changes in software and office equipment.
  • Ability to handle multiple tasks and deadlines with urgency.
  • Ability to manage confidential data responsibly.
  • Ability to adapt to change and manage stressful situations effectively.
  • Strong interpersonal skills, including active listening and teamwork.
