About the position

The Onboarding Specialist plays a crucial role in the Human Resources department by assisting the Human Resources Manager and other senior staff with various onboarding and administrative functions. This position is responsible for ensuring a smooth onboarding process for new employees, which includes administering pre-employment tests, drug screenings, and background checks. The Onboarding Specialist will also handle essential documentation such as Forms I-9, verifying I-9 documentation, and maintaining I-9 files. Additionally, the role involves providing information about Walden Security's benefits and assisting new hires in completing the necessary forms for enrollment and cancellation of benefits. The Onboarding Specialist will create and enter new employee personnel information into the Human Resources Information System (HRIS) and participate in company Quality Assurance initiatives, which include record keeping, training, and auditing. Coordination and scheduling of in-person interviews with the Talent Coordinator and new hire attendance at Initial Security Officer Training (ISOT) classes are also key responsibilities. The role includes assisting with uniform assignments, exchanges, and reimbursements, as well as maintaining the cleanliness and inventory of the uniform room. Other clerical duties such as filing, photocopying, and collating may also be required as needed. This position does not have supervisory responsibilities, but it requires a strong commitment to customer service, interpersonal skills, and effective communication. The Onboarding Specialist must demonstrate professionalism, adaptability, and a strong work ethic while supporting the organization's goals and values. The ideal candidate will possess a Bachelor's degree or equivalent experience and have the ability to work independently while contributing to a positive team environment.

Responsibilities

  • Administers pre-employment tests, drug screens, background checks, and pre and post-employment documentation.
  • Completes Forms I-9, verifies I-9 documentation, and maintains I-9 files.
  • Provides Walden Security benefits information and assists with completing the necessary forms to enroll and cancel benefits.
  • Creates and enters new employee personnel information into the HRIS.
  • Participates in company Quality Assurance initiatives, including record keeping, training, and auditing.
  • Assists with coordinating and scheduling in-person interviews with the Talent Coordinator.
  • Assists with coordinating and scheduling new hires to attend Initial Security Officer Training classes.
  • Assists with uniform assignments, exchanges, or reimbursements.
  • Assists with maintenance of uniform room cleanliness and inventory.
  • Performs other clerical duties as needed, such as filing, photocopying, and collating.

Requirements

  • Bachelor's degree or two to four years related experience and/or training, or equivalent combination of education and experience.
  • Intermediate skills in Microsoft Office software including Word, Excel, Outlook, and PowerPoint.
  • Working knowledge of applicant tracking systems (ATS) and Human Resources systems (HRIS).
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence and speak effectively before groups.
